Once you send in your party request, we will send you an email confirmation with our Terms and Agreement Contract for you to sign.

We highly recommend booking as soon as you have picked out a date. We book parties up to 9 months in advance, and sometimes even further ahead than that. Most of our bookings are secured at least 2 months in advance to ensure they get their preferred date. However, cancellations do happen, so if you have a last-minute date in mind, please don’t hesitate to reach out to us.

No. We don’t believe in raising prices just because you want to book your party on a long weekend or other popular date! Our prices are the same no matter when you want to book your party.

We close from December 23 - 26 for our Christmas break but we are usually open the rest of the year. We value our amazing team of Party Specialists and we respect the different holidays they wish to spend with their families. Therefore, there may be a limited number of parties available to set up on some popular holidays. Please contact us to check our holiday availability.

Yes. A refundable damage deposit is required to secure your date and will be held until all rental equipment is returned in original condition. Once it has been returned and examined, your deposit will be refunded within 48 hours of pickup. For our Premium Party Themes/Tent Parties, the damage deposit is $195. For party activities and other decor packages, the damage deposit is $95.

You will be required to pay the Party Invoice amount in full 2 weeks prior to your party date. Please note that your damage deposit is a separate payment that will be returned to you once all rental equipment is returned in its original condition.
For bookings made more than two weeks in advance, your Party Invoice payment is due two weeks before your event. For bookings made less than two weeks prior to the event, the full payment is required at the time of booking to secure your reservation.

If you must cancel or reschedule your party for any reason, the following policies apply:
CANCELLATIONS: If you cancel with less than 4 weeks’ notice, there will be no refunds given for your previously paid security deposit. If you cancel with less than 2 weeks’ notice, there will be no refunds given for your previously paid security deposit, AND your full Party Invoice amount. If you cancel with MORE than 30 days left before your party date, your security deposit will be refunded in full. Once you pay for your full Party Invoice, the payment is final.
RESCHEDULING: If you need to reschedule, you must request a new date at least 4 weeks prior to the original party date and we will do our best to accommodate your request. If we cannot accommodate your request, you will not receive a refund for your security deposit if you end up cancelling.
If you have an extenuating, unexpected, or critical circumstance such as a death in the family, or the guest of honour is in the hospital, please reach out to us and we can discuss further.

Once you’ve paid your Party Invoice in full 14 days prior to your party date, there are no refunds. We can reduce the number of tents if you like, but you will not get any money back. Alternatively, if you have 1 or more guests who you’d like to add to your party, please reach out to us immediately. If we can accommodate extra tents for your extra guests, we need immediate payment to secure them. Extra tents cost $95 per extra guest. Please contact us ASAP and we’d be happy to discuss your options!

We service all cities in Greater Vancouver, the Fraser Valley up to Chilliwack, and Squamish. Delivery and pick-up fees are based on location. If you’re looking to book a party or rent event decor outside of the Lower Mainland, please contact us to discuss further.

Yes, Wildpine Parties and its employees are fully insured.

At this time we accept e-Transfer and cash. In the very near future, we will also be accepting Visa and Mastercard.
Requirements & Requests
How to prepare your space and what we need from you.

We can work with whatever space you can provide! Party themes and decor packages vary greatly and therefore we can accommodate all spaces! Please reach out and let us know what you have in mind (how many tents, which theme/decor package you’d like, which activities you plan to add on, etc.). If you have a photo of the space, we’d love to take a look and share our thoughts!

Our Party Specialists are unable to move any furniture or other heavy items; everything must be moved prior to our arrival.

We can set up our tents on any floor, hard or soft. Our only requirements are that the space be indoors and clean.

This varies greatly. Tent Parties can take anywhere from 2-5 hours to set up. Decor and activities can take 1-3 hours as well. We prefer to give ourselves lots of time so the setup is done perfectly.

At this time, we offer a Candy Bar and a S’Mores Bar. Other than these two options, we do not provide any food or beverages.

At Wildpine Parties, we believe every occasion is worth celebrating! Whether it’s a birthday, holiday, bachelor or bachelorette party, grad celebration, movie night, or sports event, we’re here for it. From Super Bowl parties, New Year’s Eve, and Quinceañeras, to Sweet 16s, spa parties, and Pride celebrations, we’ve got you covered. We also love celebrating Family Day, Valentine’s/Galentine’s, Oktoberfest beer parties, wine and cheese fondue nights, cousin sleepovers, summer night fun, Girl Guides/Scouts events, best friend sleepovers, playdates, or any reason to gather and have fun!

The starting cost for each Premium Party Theme includes 4 tents of the same theme. If you want to mix and match themes, you could do 4 tents of one theme and 4 tents of another theme, but you would be paying the starting cost twice because of all the decor that comes with the tents. We could reduce the number of tents to two of each theme, but you would still be paying for 4 tents of each theme.

Our Premium Party/Tent Sleepover Themes, party activities and party addons are for any guest age 4 and up! Kids, tweens, teens, and adults all love our Premium Parties! However, we do have small decor items that could be choking hazards and therefore we cannot allow children under the age of 4 to attend.
We also offer different options for our younger guests! If you love the idea of a fancy party theme but are worried that your young guests may break some of the decor, you can request that our Party Specialist not put out any delicate or breakable decor. This way you can still have all the main decor to enjoy without the worry!
In addition, we can set up our Premium Party Themes without tents, resulting in a cozy, mattress-only, open-concept party. This way, the younger kids cannot ruin any of the tents. And if you’d like to have a decor-only party, we can omit the mattresses and your guests can still have a beautifully decorated party!
Alternatively, are you worried your little guests are too young for a sleepover but still want to spend time in the tents? We have the perfect solution! Instead of having a sleepover, may we suggest a sleepUNDER! Your young guests can arrive earlier in the day to enjoy lots of party playtime, and then leave to go home before bedtime.
Finally, please note that the 19+ decor themes may only be used by guests who are 19 years of age and up.

Yes, we can provide decor for your wedding! Keeping in mind that while we do not have any traditional wedding style decor/rentals, we could absolutely use decor from any of our Premium Party Themes or Addons to decorate at your wedding! Paris Perfection or Boho Bliss themes would be elegant, while Enchanted Forest or Fairies and Ferns would create a beautiful woodland theme. For a more rustic barn-style wedding, the Wild Horses theme would be perfect! Or wait until it’s cold and crisp, and get married in our Winter Wonderland. Please let us know what you have in mind, we would be happy and excited to discuss your ideas!

When a party decor package is described as immersive, it means that the decorations do more than just look good, they create a full experience that draws guests deeply into a particular theme, mood, or event. Every element - from the visual design to sounds, decor, lighting, and interactive props - works together to make guests feel like they’ve been transported somewhere else or into a story, not just attending an event. Ultimately, immersive party decor transforms a space into an environment that feels real and alive, making the guests part of the experience, not just spectators. We believe that our extensive decor pieces make our party themes stand out from what other companies have to offer. A few of our immersive elements include bubbles, fans for wind, trees (which are scented with evergreen essential oils to smell like you are really in the forest!), a huge unicorn, microphones & speakers, a ride on horse & saddle, giant jungle animals and vines, a red carpet & stanchions walk, crackling campfires, comfy chairs, hockey nets, forest animals, shells, hammocks, poseable deer & bear props, and sound machines to listen to the noises of the jungle, crashing waves or forest sounds. We also have unique tents such as giant mushrooms, campers, towering giraffes, icy castles, sharp toothed sharks, cabins, and more for the ultimate immersive experience! We don’t just decorate your room, we bring it to life!

Yes, absolutely! Please contact us with your concerns and we would be happy to adjust any details to meet the needs of your guests to the best of our ability! Our regular air mattresses hold up to 300lbs, but we also carry some foam mattresses for any guests who are taller or over 300lbs, just let us know! We want everyone to have the opportunity to be comfortable and included at your party!
